FAQ
Can I cancel any time?
Yes, at any point you can open Settings, click Manage billing to reach Stripe's customer portal, and cancel from there, with your data staying in your account until you choose to delete it, which you can do in the same place if you would rather do both at once.
What happens to my data if I cancel?
Your account stays active until the end of your billing period and then moves to the Free tier with drafts and chat history retained, and if you delete the account a seven-day grace period applies before everything is permanently removed.
Does the practitioner or the service own the notes?
You do, in every case. Cogent operates as a processor rather than a controller for any content related to your clients, and the Data Processing Agreement is the formal version of that statement.
Is this a medical device?
Yes. Cogent Clinic is a Class I medical device under UK MDR 2002, registered with the MHRA, and it is a documentation tool, which means the clinician is the author of record for every output and is responsible for reviewing and signing off every draft before clinical use, while Cogent itself does not diagnose, recommend treatment, predict risk, or interpret assessment data.
What counts as a generation?
Anything Cogent finishes drafting for you counts as one generation, which includes session notes, assessment notes, formulation letters, and supervision summaries, with each retry or regeneration also counting, and chat messages tracked separately under the chat allowance.
Can I try live transcription before paying?
Yes. Every account includes its first five transcribed sessions free, with no card and no time limit, so you can run the whole loop on real sessions, from recording through de-identification to a drafted note, before deciding whether a paid tier earns its place. If you are comparing us with tools that offer unlimited free transcription, read their data terms alongside ours: here the audio streams directly from your browser to a transcription service contractually barred from training on it, and the transcript comes back as text, stored encrypted at rest in the UK under a managed key with access tightly controlled and logged.
What happens if I use more than my monthly transcription hours?
By default the session stops cleanly when you reach your monthly cap, the transcript is saved, and you can resume on the first of the following month when the allowance resets, and on Professional you can instead turn overage on in Settings, after which sessions continue at £0.04 per minute and Cogent invoices at the end of the billing period, with overage kept opt-in so that no one ever receives a bill they were not expecting.
Where does the audio go during live transcription?
The audio goes direct from your browser to an EU-based speech-to-text service in Dublin, never travelling through Cogent's own servers, with the transfer covered by the UK Addendum to the EU SCCs, and only the text transcript comes back to your browser, where identifying details are de-identified before anything reaches the AI.
